Find a group project meeting time across different class schedules

Put class gaps, work shifts and flexible options on one shared grid so your project group can choose a meeting time and move on.

A new project group needs its first meeting. Four students have different classes, jobs and club activities. Messages about Tuesday after three or Wednesday before lunch keep arriving, but nobody can see the common window. The following is a fictional group chat.

When can we meet next week?
SamTuesday from one to three is free
RileyI have work right after class on Tuesday
TaylorMy Wednesday lab ends at four

Why a chat is hard to compare

Each message describes one person's schedule. Someone still has to combine the answers, and early suggestions can make later responders feel they should simply fit in. Once the chat gets long, finding the original details becomes another task.

Open the relevant weekdays

Choose the weekdays and hours that are practical for your group rather than proposing just one or two appointments. Next week and Weekdays shortcuts help select dates. A one-hour step can suit an hour-long meeting; choose a finer step if half-hour starts matter. Check the actual duration of any candidate before choosing it.

Share one link and mark free time

Send the invitation in the project chat. Each member can respond without creating an account or installing an app. Keep a class timetable nearby and mark free periods. On a phone, tap individual cells, press and hold before dragging, or use the range selector.

Use If needed for times that depend on an adjustment, and allow enough time to travel from class. A flexible response is something to check, not a promise that the person can attend.

Compare the overlap and missing replies

When responses are saved, Pithup shows suggested times and the response breakdown. If all four work at one time, check that the period is long enough. If nobody has a complete overlap, look at who cannot attend and discuss the available alternatives.

The recommendation only reflects the replies received. If someone has not replied, decide whether to follow up before choosing. A member who cannot make any candidate can submit the all-unavailable response, which is different from not having answered.

Announce the decision with the meeting details

Copy the announcement into the group chat and include a room, video link or materials to prepare. You can add a location when creating the event so it appears with the invitation. When the deadline is close, agree explicitly on the reply and decision times so waiting does not consume the time needed to work.

The shared grid is useful when it leaves the group with a specific appointment and a clear next action for the project.
