Collect availability for a class reunion with thirty people

Keep one invitation easy to find, compare a shared heatmap and decide how to handle missing replies before announcing a reunion date.

Everyone likes the idea of a reunion, but a large chat can fill with scattered replies about work, travel and family plans. The organizer ends up counting who answered and reconstructing which evenings overlap. The following is an illustrative reunion planning scenario, not a reported customer result.

Collect dates and times in the same place

A date vote often leads to another question about the hour. Open several realistic evening candidates, such as two weekends, and collect availability across the hours when the group could meet. A 30-minute step can include answers such as "from half past seven."

Pin one invitation link

Put the link in the chat's pinned message or announcement area so later replies do not bury it. Explain that classmates can open it and respond without creating an account. Keep follow-up messages pointing to the same event rather than starting parallel polls.

Set a decision point and follow up

State when you want replies and when you intend to choose. Pithup gives response timing and decision guidance, but reminders still need to be sent by the organizer. A large group should agree on how to proceed if some classmates do not answer.

Read the heatmap and inspect a time

As availability is saved, the heatmap shows where more responses overlap. Darker cells indicate more people available. Select a cell to inspect the breakdown rather than treating its color as proof that the whole invitation list can attend.

Check suggested start and end times, people marked If needed and missing responses. A recommendation uses the responses received. It cannot supply the schedules of classmates who have not replied.

Check essential attendees and communicate the choice

If a teacher or another guest must attend, use the star beside their response to view candidates with that condition. This is a viewing choice, not an attendance confirmation. Confirm any necessary flexible arrangements before deciding.

Once a time is agreed, check the venue and copy an announcement into the reunion chat. Include the location and any separate booking or attendance instructions. The scheduling event does not reserve a table, take payments or automatically notify the group.

For a large reunion, the useful outcome is a clearly communicated decision with the remaining uncertainties understood, rather than an endless wait for a perfect-looking vote.
